Forum Emphasizes Importance of Enhancing Document Management

Muscat: The 'Effective Legislation and Sustainable Documents' Forum, at the conclusion of its proceedings today in the Wilayat of Salalah, emphasized the importance of enhancing integration between legislative frameworks and legal systems regulating the documents, data, and information sector and the right to access them, ensuring the elimination of legislative interferences and unifying their application among relevant entities.

According to Oman News Agency, the forum pointed to the importance of accelerating the adoption of modern technologies and artificial intelligence in managing the document lifecycle, as well as setting regulations and standards that guarantee the reliability of digital systems, information security, and maintaining sustainability, thereby safeguarding the legal, intellectual, and historical value of archives, and supporting digital transformation, information governance, and business continuity.

The proceedings of the forum, organized by the National Records and Archives Authority (NRAA) over three days in Dhofar Governorate, concluded with the participation of a number of specialists, experts, and representatives of government and private institutions. On its final day, it reviewed institutional experiences and initiatives in developing document and archive management systems and deploying modern technical solutions.

The final day's proceedings focused on the theme of experiences of government and private institutions in the Sultanate of Oman, which addressed practical practices in applying systems and legislative governing document management, enhancing the efficiency of administrative and technical procedures, and supporting the transition toward electronic document management and preserving institutional memory.

The Projects, Tenders and Local Content Authority reviewed the 'Taam Improvement Initiative in Document Management,' addressing efforts to develop document management procedures, elevate the efficiency of associated operations, and enhance integration among organizational, technical, and technological aspects, contributing to the ease of accessing, retrieving, and protecting documents.

The Ministry of Labor also reviewed 'Planning for Resistance to Change,' which addressed the importance of managing the change accompanying the development of document management systems, planning to handle challenges associated with implementing new procedures and systems, and enhancing employee awareness and participation across development phases to support the sustainability of modern practices.

On the technical side, Nama Dhofar Services presented a paper titled 'Aman System for Electronic Document Management,' during which it reviewed its experience in deploying electronic systems to organize the document lifecycle, elevate the efficiency of retention, retrieval, and circulation operations, enhance information protection, and support digital transformation.

Oman Sales and Services Company "Duty Free" addressed its experience in document management, reviewing the institutional practices followed in organizing, preserving, and making available documents, and their role in supporting business and documenting activities and operations in accordance with approved frameworks and procedures.

Port of Duqm Company also presented a paper titled 'Port of Duqm Success Story,' highlighting its experience in organizing and managing documents, and the role of the documentation system in documenting the growth stages, projects, operations, and decisions of the port, as well as preserving accumulated expertise and knowledge to support business continuity and institutional performance development.

The working papers concluded with the experience of Oman LNG through a paper titled 'The Role of Intermediate Storage Management in Preserving Institutional Memory in the Energy Sector,' which addressed the role of intermediate storage in organizing documents during their lifecycle stages, preserving documents with administrative and historical value, and ensuring their accessibility and utilization, thereby enhancing the preservation of institutional memory in the energy sector.

The forum, held from 17 to 19 August, aimed to enhance awareness of legislative governing document and archive management, exchange expertise and experiences among relevant entities, review institutional practices in applying document management systems, and keep pace with technical transformations related to information and document management, thereby contributing to the development of a sustainable documentation system in the Sultanate of Oman.
